From manual payments to automation: how Jopox and Paytrail transformed everyday operations

Jopox Oy develops a management system that simplifies everyday operations for associations and sports clubs, and is already used by hundreds of customers across Finland. The collaboration with Paytrail, which began in 2019, moved payments from manual invoicing to automated processing.

Paytrail’s Shop-in-shop solution enables multiple merchants to sell products or services through a single payment transaction. With this solution, Jopox can offer associations an easy and modern way to manage payments. Everything happens smoothly within the online service.

Manual payment processing increased the risk of errors

Jopox offers a management system designed for associations, covering member management, calendars, events, invoicing, and financial administration. Association work is often based on volunteer efforts, which means invoices are frequently handled manually.

“With Paytrail, we made invoice payments easy. With just one click, users can choose their preferred payment method and complete an online payment,” says Jaakko Isokoski, Sales and Customer Success Manager at Jopox Oy.

Before the collaboration, all payments were handled manually. Payment details and reference numbers were entered into online banking systems one by one, increasing the risk of human error and taking time away from other association activities.

Payment tracking was also challenging. Payments could end up in the wrong account or arrive without a reference number, making allocation difficult. With Paytrail, automation was introduced to solve these issues. Payments are now always routed to the correct recipient, such as a specific team within a club.

“The Shop-in-shop payment service has removed unnecessary manual work.”

Paytrail’s Shop-in-shop solution automates payment processes

The collaboration with Paytrail began in 2019, when there was a need for a more efficient payment solution. With Paytrail, payments were automated and time-consuming manual steps were removed. This has significantly simplified everyday operations, as payment processing is now faster, more secure, and less prone to errors.

“With the payment service, we can provide reports and accounting exports directly from Jopox to the club’s financial software. This makes accounting easier for clubs and reduces manual work.”

Paytrail’s Shop-in-shop solution has proven to be versatile and well suited to the needs of different associations. Jopox has also been able to further develop the service through close collaboration with Paytrail.

“From our perspective, it’s been great to work with Paytrail to continue developing the service,” says Isokoski.

Automation delivered lasting benefits

The collaboration has delivered clear results. More than 80% of Jopox’s customers now use the payment service as part of their daily operations. Payments are now easier, and the previously time-consuming payment processes are a thing of the past.

“Being able to offer multiple payment options and make paying as easy as possible is certainly one reason why so many of our customers use the service.”

Paytrail’s solution has also proven its value beyond traditional e-commerce. According to Isokoski, its strength lies in its flexibility and versatility.

“Paytrail’s Shop-in-shop payment service is well suited to a wide range of use cases. It goes beyond traditional e-commerce, and our service is a great example of that.”

Isokoski also encourages other organizations to explore payment service solutions:
