Paytrail and data protection

Paytrail is a trusted payment service provider for online transactions. As part of our daily operations, we handle personal data connected to payments.

We ensure that all data is processed securely, with respect for privacy, and in line with current legislation. Our practices fully comply with the EU General Data Protection Regulation (GDPR), and we continuously develop our data protection measures to meet its standards. Data protection is at the core of every security solution we implement.

Data protection means handling personal information in a way that safeguards each individual’s right to privacy and control over their own data.

Processing personal data

Paytrail as the data controller

At Paytrail, the processing of personal data is based on the grounds set out in the legislation governing payment institutions or on the individual’s consent. All data is processed in accordance with good data management practices and the principles of the General Data Protection Regulation (GDPR). Our employees receive ongoing training and clear instructions to ensure secure handling of personal data, and they are bound by banking secrecy.

Personal data is used only for the purposes specified at the time of collection and always within the limits permitted by law. Detailed information on data processing and the rights of data subjects can be found in the privacy policies for each register.

The processing of personal data at Paytrail follows documented procedures. Access to information systems is controlled through user management solutions and the principle of minimal access rights.


Paytrail as a processor of personal data

When a payment involves transferring the payer’s personal data to Paytrail, the party providing the data (such as an online store) is the data controller, while Paytrail acts as the data processor.

To support our customers in meeting data protection requirements, we include a Data Processing Agreement with every payment service agreement. This agreement provides guidance on handling personal data and sets out the respective rights and responsibilities of the data controller and the data processor for all personal data processed within the payment service.

Procedures in exceptional situations

Paytrail has a security policy in place that outlines procedures for managing potential incidents. As a licensed payment institution, we also comply with the regulations and guidelines of the Finnish Financial Supervisory Authority on information security.

If we suspect or identify a data protection risk, we investigate it immediately. Notifications are sent primarily by email to the designated contact persons provided to Paytrail. In the event of a personal data breach, we report it as required by the General Data Protection Regulation (GDPR) without undue delay to the supervisory authority, the relevant data controller, and, when necessary, the affected individual.
